Your questions before we take over your software

How it runs

Is the amount of work the same every month?

No. The workload is spread across the quarter according to your priorities: heavier in a month with a release, lighter in a quiet one. The amount invoiced stays the same every month.

What does not fit in the quarter moves to the next one, according to your priorities; the amount invoiced does not change.

What happens if there is an incident with our software?

An incident takes priority over planned work. Whether our monitoring detects it or you report it to support@deepy.lu, we start working on it within 8 working hours, Monday to Friday. On-call cover in the evening and at weekends is available as an option.

You advise and you also do the work. How do we know you are not pushing us to build more?

The invoice for the plan is fixed. The monthly report lists each piece of work and every request we advised against, with the reason.

A request we advise against makes room for the next one on your list.

Do you use AI to write code?

Yes, and a consultant reviews every change before it is released. We use AI coding assistants to write and test part of the code, and the time saved lets us include improvements in the plan.

When a task involves data, for example a data analysis, the data is anonymised first.

Scope

Do you replace our office IT supplier?

No. They stay in place for workstations, network and telephony. We follow up their work with you, as part of the plan.

Can you take over software someone else wrote?

Yes. The takeover starts with an inventory of logins and access, and ends with a first report; its scope and duration are agreed with you before we start.

If your former supplier holds the code or the logins, we start by establishing with you who holds what.

My developer cannot be reached and I have neither the code nor the logins: can you still take over?

We check with you what can be recovered from the hosting company and the domain name registrar, then tell you what can be taken over and what cannot.

Which technologies do you work with?

On the server: PHP (Symfony, Laravel), Node.js, Java and Python.
In the browser: React, Next.js, Vue.js and TypeScript.
Database: PostgreSQL, MySQL, MongoDB, Elasticsearch and Redis.
Hosting: AWS, OVHcloud, Azure and Google Cloud Platform.

For any other technology, write to us: you get an answer, usually within two working days.

What if we already have an IT person or developers?

We maintain the software you entrust to us and manage its platform. Your team keeps first-line support for users. If it has internal administration tools, we can improve them.

Does Deepy Relais act as an outsourced CTO?

Yes. An outsourced CTO, also called a fractional CTO, provides a company’s technical leadership without being on its payroll: they advise the owner on priorities, decide technical matters and make sure the software runs properly.

Deepy Relais takes on that role for small businesses and SMEs in Luxembourg, and also does the work: maintenance, improvements, hosting and security of your software, within a fixed monthly fee, from €1,400 a month, excl. VAT.

Contract and exit

How long is the commitment, and how do we end the contract?

The contract has no minimum term. You can end it at any time, with three months’ notice.

When the contract ends, the code, the access, the documentation and the backups are handed back to you within thirty days. We handle the handover to your new team during the notice period.

Who owns the code and the accounts, and what do we get back when the contract ends?

You remain the owner of the code, the domain name and the hosting accounts throughout the contract. We can manage them on your behalf, and everything is handed back to you when the service ends.

The written description of your software and the monthly reports, which you receive during the contract, allow a third party to take over.

If the question is already open with a former supplier, the inventory made during the takeover shows who holds what today.

Who knows our software, apart from our usual contact?

Each client is looked after by two consultants: a lead, and a second who knows the software and takes over when the lead is away, in a team of five people.

What they know about your software is shared between them and written down in its description, the documentation and the monthly reports, kept up to date throughout the contract.

Who has access to our data, and what about GDPR?

We access personal data on your behalf, under a data processing agreement (GDPR, Article 28) that sets out who has access to it and where it is hosted.

Your software stays hosted where you decide, usually on your current hosting. Your compliance remains your responsibility, and we answer for the use we make of your data.

Price

What does a plan cost?

Relais S from €1,400 a month, excl. VAT, Relais M from €2,800 and Relais L from €5,000. Relais XL is quoted on request.

The amount depends on how many pieces of software you have, their condition, how critical they are to your business and the options you choose, such as on-call cover in the evening and at weekends. It is confirmed after the takeover audit.

Is the takeover included in the plan?

No. The takeover starts with an audit, with its scope and price agreed before it starts: 4 days, from €2,000 excl. VAT, for Relais S; 10 days, from €5,000 excl. VAT, for Relais M and Relais L. It is billed separately from the plan.
